Onboarding: a Key Part of the Hiring Process

Did you know effective onboarding can boost retention, reduce turnover, and increase productivity? In this article, our HR Lead, Anzhelika Dvornytska, shares the steps behind Nextcode’s successful onboarding process. These steps help to create a seamless and supportive experience for new team members – from day one to thriving in their roles!

  • Simplify the Paperwork. Once a candidate accepts the offer, our People Partner communicates with the new team member to collect the necessary details for signing the contract and NDA. This allows the HR, SysAdmin, and Finance departments to prepare everything in advance.
  • Prepare the Equipment. Our recruiter checks if the new hire needs any specific equipment and relays this information to the SysAdmin. The SysAdmin ensures the employee receives the necessary gadgets and tools to start working seamlessly.
  • Set Up Access. On the first day, the new team member receives access to essential work platforms via their personal email. While the SysAdmin provides initial access to required programs, they remain available throughout the day to assist with setting up work accounts and any additional tools.
  • Welcome Letter. On the first day, each new team member gets a welcome letter by email. It includes their start date and time, where to log in or go (if needed), a schedule for the first day, including a meeting with HR, and contact details. This helps the new team member know what to expect and feel ready for their first day.
  • First Impressions Matter. The first day begins with a welcome meeting led by our HR Lead, Anzhelika. This is a great opportunity to introduce the company's values, culture, and key processes.
  • Introduction to the Company. Every new hire is welcomed with a post in the company's general chat. We encourage them to share interesting facts about themselves so the entire team can get to know their new teammate better.
  • Meet the Manager and Team. The manager discusses the goals for the probation period, presents a work plan, and addresses any questions the new hire may have. It's also essential to introduce the new team member to their colleagues.
  • Avoid Overloading Tasks. The first week should focus on adaptation. Instead of assigning too many tasks immediately, we prioritize giving new hires time to familiarize themselves with the company, its culture, and workflows.
  • Encourage Feedback. HR maintains ongoing communication with the new hire. We actively seek feedback about their first day, week, and month to continuously improve our onboarding process and team interaction.
